In this article we show you how to invite or create users one by one and how to add a larger group at once.
Of course, users can create an account themselves, but in some cases you want to do that for someone or a group. You can even add users who do not have an email address.
You create accounts by going to the user table: profile icon > administration panel > data > users.
At the top of the user table you will find a button with the text 'Create / invite users'. As soon as you click on it you have three options:
Below I explain how it works per option, but it is also important to know how verification works exactly.
Verification
A user is only verified and claimed when he logs in for the first time. As long as someone is not verified you will see a question mark next to that person. Only verified users are visible on the platform to others and only verified users can be linked as an organization administrator / moderator.
If you create a user without sending the invitation email, that person will have to request a new password the first time he/she wants to log in. This also verifies his/her account.
Inviting a user
When you invite a user, you create an account and send an invitation email to that person so that he/she can set a password.
- To invite someone, you need a first and last name, plus an email address.
- You can then choose to also invite the user to create an organisation.
- In that case, after the account has been created, the person will immediately be redirected to the organisation creation page.
- You are free to determine the title and text of the email that goes to that person. The button in the email says 'Accept'.
- Click on 'Create and send email' to send the invitation.
A user is only verified and claimed when he clicks on the button and/or sets a password. If the invitation email is lost, that person can request a new password. This also verifies his account.
Create a user
If you create a user, that person will not receive an invitation email and therefore cannot set a password.
- To create an account, you need a first and last name, plus an email address.
- You can then choose to mark the user as verified and claimed.
- Double-check the email address if you check this, because there is no check on it, and you do not want registrations not to reach the right person because the email address is incorrect.
- Click on 'Create without notifying' to create the account.
Add multiple users at once via CSV
If you want to create multiple users at once, you will need to use a .csv file and you can choose to send an invitation email so that everyone can set a password. You can also leave this out.
- To create multiple accounts, you need a first and last name for everyone, plus an email address.
- Use a CSV without a header (the first row does not contain a title) and the following columns (in this exact order): first name, last name, email.
- You can add as many rows as you want.
- Click on 'Choose file' to choose the desired file.
- You will see below the file how many rows are being read. Use this as a check to make sure that it is the correct number.
- You can then choose to also invite the users to create an organisation.
- In that case, after the account has been created, the person will immediately be redirected to the organisation creation page.
- You can then choose to send the invitation email.
- If you choose to do this, you are free to determine the title and text of the email that goes to that person. The button in the email says 'Accept'.
- Click on 'Add Users' to add/invite everyone.
