What do the different statuses of an application mean?

From ‘new’ and ‘approached’ to ‘accepted’: every step explained

An application for an activity can come about in different ways. A user can sign up themselves, but they can also be approached through the volunteer pool, or you as a platform admin can suggest an activity to a volunteer. Once an application exists, it moves through different statuses. In this article, we'll explain what each status means, so that you always know where things stand.

Status Explanation

A user has responded to an activity. The activity's contact person has not yet responded via the platform.

The organisations automated welcome message won't move an application out of "New".

"New" only applies where approval is required (not RSVP).

 

The user has been approached by the organisation through the volunteer pool. The user has not yet responded via the platform.

 

The platform admin has suggested the activity to the user (more about this option here).

 

This status can be triggered from three different statuses:

  • From "new": the organisation has responded to the application via the platform, or has manually changed the status from "new" to "pending".
  • From "approached": the user has responded via the platform to the organisation's message.
  • From "suggested": the user has sent a message to the organisation via the platform.

This status indicates that the volunteer and the organisation are in contact and the application process is underway, until the status changes to "match", "no match", or "withdrawn".

 

If an organisation has set up a waitlist and capacity is full, applicants are placed on the waitlist. More about the waitlist here.

 

There's a match! You'll see this status when:

  • The application process has gone well, and the organisation has manually changed the status from "pending" to "match" (manual)
  • A user has responded to an activity with an RSVP flow, where the user is accepted immediately (automatic)
  • A volunteer has been moved from the waitlist to "match" (automatic)

There's no match. You'll see this status when:

  • The organisation has manually set the application to "no match".
  • You have auto-no-match enabled. If the auto-no-match option is turned on, an application is automatically moved from "new" to "no match" after a configurable number of days.

This status appears when the volunteer has manually withdrawn their application.
