How does recurring copying work? How can I create periodic activities and repeating opportunities?

This functionality allows you to easily set up and manage recurring activities as an organization, while it is immediately clear to volunteers when other options are available.

Condition
You can only create recurring activities (opportunities, workshops and community events) if they have a fixed date/time, and are NOT multi-day.

NOTE: activities may be called differently on your platform.

 


 

Step-by-step guide

  1. Create an activity and publish it.
  2. After publication, you have the option to select "copy recurrently". You can find this option in the green banner.
    1. NOTE: double-check the details of your activity carefully. Once you have created the copies, you can only edit them one by one. 
  3. Fill in the required information
    1. Group title: as soon as you copy an activity recurringly, a folder is created on the activity overview page so that you remain clear and can easily manage the activity. So choose a good title.
    2. Start date: enter the date of next occurence (following the original activity).
    3. Recurrences: enter here at which fixed times the activity should recur. You can choose every so many weeks or months and possibly also choose multiple days per week.
    4. End date: enter the date of the last occurence.
  4. 'Proceed to date confirmation' and carefully check whether the dates are correct before continuing.
    1. NOTE: If there are dates in between (e.g. vacation weeks) on which the activity does not take place or the times are different, it is best to delete / adjust them after creating the series.
  5. Now create the recurring activities. All activities can be found in a separate folder on the activities overview page.

Recurring activities can be used for:

  • Recurring activities such as a periodic clean-up day.
  • Linking workshops that consist of multiple parts.
  • If you want to link a group of activities together for other reasons.
  • Overview regarding the number of available places per date.


 

FAQs

Why create an opportunity first before creating recurrences?

This gives you a chance to double-check the details of the opportunity before moving on to create the recurrences. Please note that, once created, you can only edit individual occurrences. You can not edit multiple occurrences at the same time.

What if I want to create more occurrences?

Select one of the existing opportunities and click on "copy recurrently." The new occurrences you create will be automatically added to the corresponding folder.

What happens if I add a form to the opportunity?

The form will be included in all occurrences of the opportunity. Therefore, if a volunteer applies for multiple opportunities, they will need to complete the form for each application separately.

Can I edit separate occurrences?

Yes. Once the occurrences are created, they are not connected anymore: you can edit or delete individual ones without it affecting the other occurrences.

Can I edit all occurrences at the same time?

No. Once the occurrences are created, they are not connected anymore.

Where can I find the recurring activities?

Go to your organisation page and select "activities" or "opportunities" from the left menu. It might be called differently on your platform, but is always the top option. There will be a folder created under "groups" for the recurring activities.
