Automatic reminder emails when an application gets stuck in 'Pending'

Status update. Pending. Emails. Reminders.

All our partners are dealing with applications that get stuck in the 'Pending' status. This is a difficult problem because you are dependent on action from the organization.

To help our partners and give the organizations a nudge, we have introduced four automatic reminder emails.

The entire process looks like this (the first two reminders can be disabled).

  • If an application remains 'Pending' for 3 days, then the contact person will receive a reminder email with the request to update the status, if applicable.
    --> The email can be found via the overview of the automails in the administration panel under the name 'remindOrganizer'.

  • If an application remains 'Pending' for 7 days, then all organization administrators and moderators (anyone who can change the status) will receive a reminder email with the request to update the status, if applicable.
    --> The email can be found via the overview of the automails in the administration panel under the name 'organizerUnresponsiveReminder'.

  • If an application remains 'Pending' for 2 weeks, then the contact person will receive a reminder email with a request to update the status, if applicable.
    --> The email can be found via the overview of automails in the administration panel under the name 'pendingApplicationStatusReminder' (same as below).

  • If an application remains 'Pending' for 4 weeks, then all organization administrators and moderators (anyone who can change the status) will receive a reminder email with a request to update the status, if applicable.
    --> The email can be found via the overview of automails in the administration panel under the name 'pendingApplicationStatusReminder' (same as above).
    • NOTE: In case of a p2p deed, this only goes to the contact person.

Hopefully this will help reduce the number of applications that get stuck in 'Pending'. We will continuously monitor this.
